Responsibilities of the Student Services Sector:
• Providing information about class schedules;
• Assisting with applications for course retake group enrollment;
• Providing students with information about current, midterm, and final assessments;
• Preparing call-up letters for students in part-time and distance learning programs;
• Issuing academic certificates and transcripts;
• Providing exam lists;
• Assisting with applications for academic transfer and reinstatement;
• Assisting with online applications for second higher education at higher education institutions;
• Assisting with online applications for master’s (clinical residency) programs at higher education institutions;
• Creating and issuing student ID cards and dormitory residency certificates;
• Providing students with GPA information certificates;
• Resetting student passwords in the “HEMIS” information system;
• Assisting students in obtaining medical insurance;
• Providing consultations regarding admission and academic transfers;
• Providing information on various services and resources available at the university;
• Preparing documents for temporary registration of students moving into dormitories.
Responsibilities of the Accounting and Marketing Services Sector:
• Collecting and entering information about employed graduates;
• Determining, calculating, and providing information on tuition contract amounts, as well as assisting with applications for receiving a tuition contract;
• Preparing scholarship orders in the HEMIS platform based on notices (provided by the dean's office or academic affairs department) regarding scholarship assignments based on students' academic performance and other criteria;
• Determining and approving payment amounts for course retakes by students with academic debts, and assisting with applications to obtain retake contracts;
• Assisting students in submitting applications for rent subsidies;
• Assisting students in submitting applications for dormitory accommodation;
• Providing students with recommendations regarding employment opportunities.
Responsibilities of the Scientific and Innovation Activities Service Sector:
• Providing information on grants and competitions;
• Providing information on scientific conferences;
• Assisting with the registration of innovative ideas and startups;
• Informing students about prestigious scholarships and assisting with applications;
• Providing consultations on scientific projects;
• Assisting with enrollment in the “Mentor-Apprentice School” program;
• Promoting scientific conferences, seminars, and other scientific-innovation events organized by the higher education institution among students;
• Providing students with information on scientific clubs and offering practical support.
Responsibilities of the International Relations and Academic Mobility Service Sector:
• Issuing study confirmation letters in English;
• Providing information on various international grant and academic mobility programs (with local and foreign HEIs);
• Registering foreign students in the electronic system and assigning them to courses;
• Providing consultation on studying at foreign universities;
• Providing visa services for international students;
• Providing tuition contracts for international students;
• Processing temporary registration of international students in the Republic of Uzbekistan;
• Consulting on admission of international students and receiving applications and required documents;
• Providing international students with information about the educational process at the institution;
• Providing information and promoting joint educational programs among students;
• Providing information on the “El-Yurt Umidi” Foundation scholarship competition and foreign study announcements;
• Informing students about higher education institutions ranked in international rankings (QS, THE, Green Metric);
• Providing information on agreements and declarations signed at international forums;
• Providing information on foreign language learning courses.
Responsibilities of the Statistical Data Management Sector:
• Summarizing and analyzing various statistical data regarding students, resources, contracts, classes, and student academic performance;
• Summarizing and analyzing statistical data on students' course retention, dismissals, and academic leaves;
• Summarizing and analyzing statistical data on students recommended for transfer or reinstatement;
• Preparing statistical data related to the institution's activities upon request or official assignments;
• Maintaining reporting forms submitted by higher education institutions to the Statistics Agency;
• Creating a general database of graduates;
• Collecting, summarizing, and analyzing information on graduate employment and monitoring employment outcomes;
• Analyzing the accuracy of statistical data entered into the “HEMIS” information system;
• Staff members of other departments within the higher education institution must assist the statistical data sector managers by providing requested data for collection, processing, and analysis, and must collaborate effectively with them.
Responsibilities of the Educational Process Coordination Sector:
• Formation of academic groups;
• Organizing course retakes for students (creating subject groups, class schedules, and assessment calendars, reviewing applications);
• Assigning students to relevant subjects;
• Entering students into the system and assigning them to appropriate groups;
• Assigning tutors to corresponding groups;
• Allocating subjects to semesters according to the curriculum;
• Registering newly admitted students in the electronic system and assigning them to subjects;
• Coordinating and formalizing student academic movements (dismissals, course retention, transfers, academic leave, and reinstatements);
• Promoting students from one year to the next;
• Summarizing and analyzing student academic performance indicators;
• Forming and updating student databases;
• Properly formalizing graduating students;
• Controlling student attendance via the “HEMIS” system, obtaining daily attendance reports, and monitoring attendance by subject;
• Creating class schedules as well as current, midterm, and final assessment calendars in the “HEMIS” information system.
Responsibilities of the Student Document Management and Archiving Sector:
• Collecting, compiling into folders, registering, and storing documents of graduating students until transfer to the archive;
• Uploading copies of orders related to name changes, academic leave, program or faculty changes, course repetition, and dismissals into the student database;
• Providing all necessary documents to students dismissed due to transfer to another higher education institution;
• Providing official documents with strict accountability (diplomas, diploma supplements, academic certificates, etc.);
• Organizing the receipt, storage, and issuance of accountable document forms (diploma blanks, academic certificates, diploma supplements, etc.);
• Identifying students with academic debts.
