Information about the office and archive activities
The administrative department is part of the structural structure of the institute and operates directly under the management of the rector. The main tasks of the administrative department and the archive include the following:
Registering, copying, delivering to structural departments, and storing internal and external organizational orders and orders related to the activities of the institute;
Registering service correspondence, information documents, incoming and outgoing letters and letters (correspondence) addressed to the heads of the institute (rectors and vice-rectors), distributing them to the relevant departments, and sending replies to the addressees;
Carrying out such work as issuing necessary extracts from documents upon request, and destroying expired documents on the basis of acts.
The archive is part of the structure of the administrative department of the institute and is directly under the management of the rector in accordance with the organizational structure approved for the academic year. The archive is managed by the archive manager, who is accepted by order of the rector. The archive includes the positions of the archive director and archivist in accordance with the approved staffing table. The archive director and the positions within it operate on the basis of job descriptions separately approved by the rector.
The archive's main tasks include the following:
The JizPI archive consists of receiving, accounting, sorting, preparing documents of the organization for use and transfer to state storage.
Assigns fund serial numbers to collections and documents accepted for the archive.
Organizes an examination to determine the scientific and practical value of documents stored in the archive, provides methodological assistance in the examination of the value of documents in the course of work;
Prepares documents for transfer to state storage and submits them within the deadlines established by the Regulation on the National Archival Fund of the Republic of Uzbekistan.
Organizes the use of documents and provides both interested organizations and citizens with references, extracts and copies of documents in the prescribed manner.
Taking into account the specifics of the organization, participates in the development of regulatory and methodological documents (instructions, recommendations, regulations, lists of documents with storage periods, etc.) on archival work and work with documents in business, and coordinates them with the bodies and institutions of the "Uzarkhiv" agency under the Cabinet of Ministers of the Republic of Uzbekistan; (paragraph as amended by the Resolution of the Cabinet of Ministers of the Republic of Uzbekistan No. 131 dated March 18, 2004).
